Location: East End of Toronto, ON (Hybrid - Remote & In Office)

Hours of work: Monday to Friday, 40 hours per week, flexible schedule 

Compensation: 60,000 - 70,000/ year, dependant on experience

About the Role:

The Payroll & Benefits Specialist (P&B Specialist) is a people-focused stickler for the details. This position is responsible for biweekly payroll processing, health & benefit program administration, reporting, and analyzing data with the goal of implementing process improvements. 

This position requires someone with a proactive and positive attitude and the ability to manage multiple tasks and priorities simultaneously with competing deadlines. In addition to possessing good judgment and developed problem-solving skills, the P&B Specialist must possess a high degree of initiative and exercise discretion when handling details of a confidential and critical nature. This position requires a team player with strong organizational skills, detail orientation and the desire to help others!

Some of the things you’ll get paid to do:

Payroll Processing

  • Oversee all payroll functions to ensure that employees are paid in a timely and accurate manner
  • Ensuring that payroll data is collected, inputed, processed, balanced, and verified 
  • Ensuring all hourly personnel, weekly timesheets and changes are accurately entered into the payroll system on-time 
  • Oversee time off policies and timecards and ensure appropriate recording of days worked 
  • First point of contact for employee support for payroll-related inquiries
  • Identify and resolve payroll issues/discrepancies
  • Reconciling and processing all year-end tasks 
  • Perform routine audits of payroll information in ADP

Health Benefit Administration

  • Administer employee health insurance and benefits plans 
  • Identify eligibility and enroll new plan members as well as terminate exiting plan members 
  • Maintain communication templates with members and ensuring plan information is up-to-date 
  • Process status changes to benefit plans for all members (ie. leaves of absence, new dependents, etc) 
  • Update and maintain plan premium changes in ADP 
  • Complete annual reviews of plan in collaboration with HR Manager
  • Perform routine audits member details
  • Respond to all employee inquiries relating to their health benefit plan 
  • Assist with administration disability management and work accommodation plans

Employee Savings Program Administration 

  • Administer Employee Savings Program RRSP, RESP & DPSP plans
  • Maintain communication templates with members and ensuring plan information is up-to-date 
  • Identify eligibility and provide new plan members with plan enrollment details 
  • Ensure the most recent and up-to-date contribution information is shared with ADP for accurate payroll processing 
  • Maintain annual contribution spreadsheet to ensure accurate company matches to members 
  • Update Canada Life with updated salaries and seniority changes annually 
  • Complete annual review of plan in collaboration with HR Manager
  • Respond to all employee inquiries relating to their plan 

Company Culture & Other Responsibilities 

  • Assist in coordinating company-wide internal and external events (employee recognition programs, team building events, monthly lunch and learns) 
  • Creating and facilitating employee training relating to ADP, benefits & employee savings program
  • Maintain employee milestone calendar and action monthly milestone changes to employee profiles

About You

  • College diploma/certification or University degree in Human Resources or a related field
  • Minimum 3 years of payroll processing experience
  • Minimum of 1 year of benefit administration experience  
  • Proficiency with MS Word, Excel, PowerPoint, Google Apps
  • Proficiency with payroll, benefits & HRIS related software
  • Experience using ADP’s WorkForce Now preferred
  • Working knowledge of legal regulations pertaining to payroll
  • PCP certification is an asset
